Though we live in a digital world, print materials remain an important way to reach audiences with our messages. The publications team can assist you with the creation of high-qualty print pieces that will help you reach your goals, while representing the brand of the University correctly. The team's process includes layout, editing, and assistance with printing (through either the Hofstra Print Shop or external vendors.) Available online through the portal, the University Photo Archive provides publicity-cleared images for use in all cases, and non-cleared images, which can be used for news purposes.

The Publications Process

The two areas that make up the publications team, part of Marketing and Communications, work together to edit and design, while coordinating with the Plat Department to print, and mail publications for faculty, administrators, and staff. We produce brochures, catalogs, fliers, booklets, ads, newsletters, invitations, posters, calendars, and more.

To begin work on a publication, visit the Marketing and Communications Intake Form. The intake form lets you place requests for assistance with all sorts of Marketing and Communications needs, including publications. To start a publications request, select Printed Markewting Collateral. For business cards, select Business Cards.

Editorial Services assists our clients by editing and fact-checking existing text as part if the publications process.

Our editors proofread first-draft copy and edit for grammar and style according to University style before design begins. Once clients decide which editing suggestions they wish to make, the copy makes its way through the process. Design work now begins with clean and edited text.

Once a graphic artist is assigned the edited copy, they will follow up with the client to determine the best way to communicate the client's message. Important considerations include size, paper, the overall tone of the design, the order of information, photography, the method of mailing (optional), potential printing solutions, and more. These should be communicated on the intake form to make the workflow as smooth as possible.

If they choose, clients can access Pics.IO, the University's digital photography library, via the Photo Archive link under MyApps in the portal. If you have your own images, it's paramount that you have all rights to the images, including publicity rights from any people with clearly visible faces.

While design work continues, other considerations are made. If a publication will be mailed from the Hofstra Mail Center, the graphic designer alerts the Mail Center's manager, who will communicate with the client and request a mailing list, if necessary. If the job requires an outside printer, the artist, obtains cost estimates and makes recommendations.

The graphic designer and client will exchange a proof to reach a finished design, which the client must approve by signing a layout or emailing approval. Editorial Services then proofs the final design and Marketing and Communications reviews it before printing. The finished design either goes to the Print Shop or to an outside printer.
